What to actually check before you sign
Every vendor's website looks similar. These are the questions that separate them in practice.
- Data isolation. Is your school's data in its own database, or one shared database with a row-level filter? Ask directly — most vendors share one database across customers.
- Implementation, not just software. Who imports your existing data (students, fees, attendance history), and how long does go-live actually take? Get this in writing, not a verbal estimate.
- Board/curriculum fit. Does the mark-sheet format match your affiliating board (CBSE / ICSE / state board)? Ask for a sample, not a screenshot from a different board's template.
- Mobile app coverage. One app for every role (parent, teacher, driver, admin), or a separate download per role? Ask to see the parent app live, not a mockup.
- Support after go-live. What does support look like in month 4, after the sales team has moved on? Ask for a reference school you can call.
- Exit terms. Can you get a full data export if you switch vendors later, and how long does that take? Get the notice period and export format in the contract.
