What to actually check before you sign
Every vendor's website looks similar. These are the questions that separate them in practice.
- Scale fit. Some platforms are built for a single autonomous college; others are built for multi-campus universities with affiliated colleges. Ask how many campuses/affiliates their largest live customer runs, not just their total customer count.
- Accreditation coverage. Can it generate NAAC SSR criterion-wise evidence, NBA/OBE outcome attainment, and AISHE's Block-16 CSV in the exact format the portal expects — or will your IQAC team still be assembling this by hand?
- Academic model. Does it natively handle semester/CBCS credit structures, SGPA/CGPA rollups, and Academic Bank of Credits (ABC) — or was it originally built for K-12 and adapted later?
- Data isolation. Is your institution's data in its own database, or one shared database with a row-level filter? For universities handling research and financial-aid data, this matters more, not less.
- Implementation for scale. A 3,000+ student college's rollout looks nothing like a small school's. Ask for a phased implementation plan with named owners and acceptance gates, not a generic timeline.
- Exit terms. Can you get a full data export — including research, grant, and financial-aid records — if you switch vendors later? Get the notice period and export format in the contract.
