An engineering college cut NAAC cycle-3 prep from 6 months to 6 weeks
The college in one line
A 3 400-student engineering college in South India, affiliated to a state technical university, 12 departments, preparing for NAAC cycle-3 reaccreditation in 2026.
The before
The IQAC coordinator had a 6-month annual ritual: gather data from the placement office, exam controller, HR, Accounts, and 12 head-of-departments. Cross-check it. Format it for NAAC's seven criteria. Generate evidence PDFs. Submit.
The pain in numbers:
- 14 separate spreadsheets maintained by 14 different people, none of them synchronised
- 6 person-months of effort per accreditation cycle, plus 1 month of "find the missing data"
- 3 specific data points that were impossible to reconstruct because nobody had recorded them at the time (extension activities of 2022, alumni-feedback scores of 2023)
- 2 audit-cycle anomalies that took 4 weeks to explain to the visiting peer team

What we changed
Over 4 months we deployed:
- Examination + LMS modules — every assessment now lives in the system. Course outcome → programme outcome mapping enforced at assessment-creation time. No retrofit math.
- Placement module with NAAC §5.2 report wired — every offer, every job description, every campus drive recorded against the academic-year + programme. Internship-to-PPO offers counted correctly (the area cycle-2 dinged them on).
- HR module — faculty profiles with publications, conferences, FDPs, professional bodies, research grants — all entered once, surfaced everywhere.
- Finance module — capital expenditure, library expenditure, research-grant disbursement — all tagged by category.
- Compliance reports — NAAC criterion-wise dashboards live-computed from the same data.

The college submitted for cycle-3 in March 2026. They got their score back in two weeks — the fastest turnaround they'd ever had. (NAAC moves slowly when the data isn't clean; they move quickly when it is.)

What we'd do differently
We tried to teach 14 different department heads to enter their own data into the system simultaneously. Three of them resisted; their data was always 2 weeks behind. With hindsight, start with the heads who are already comfortable with software, prove the pattern, then bring the resistors along.
Also: we underestimated the discovery effort to find historical data (extension activities of 2022, etc.) — that took 4 weeks of side-work that wasn't in our project plan. Budget 6-8 weeks of historical-data archaeology at the start of any NAAC engagement.
